Simple but Critical Steps Improve Content Migration

When building a new website, approaching content with the same rigor as development and design leads to a better result.

When planning a new website, decisions about content are as important as those involving technology and design. Figuring out what needs to move to the new site, what can be left behind, and what gaps exist is critical to a successful launch. There are several key steps in this process that can ensure a smooth transition.  

First, data assessment and mapping are crucial. This involves analyzing the existing content structure, identifying the types of content, and mapping them to the new CMS’s structure. This step helps in understanding the scope of the migration and planning the necessary transformations. It also allows for decisions to be made about whether to keep all existing content or only a portion of it and allows time for additional content to be created if it is needed.

As part of this process, consider starting with a ROT (redundant, obsolete, trivial) analysis on all content to determine if there is content that can be removed as part of the migration. This will minimize the amount of content that is moved.

Data extraction and transformation are the next steps to come into play. Using scripts or tools, content is extracted from the old CMS and transformed to fit the new CMS’s format. This might involve converting data formats, adjusting metadata, and other methods of ensuring compatibility with the new system’s requirements. Automation tools and custom scripts can significantly streamline this process, reducing manual effort and minimizing errors.  

The final step in the content process is testing and validation, which are essential to ensure the migrated content functions correctly in the new CMS. This includes verifying that all content has been transferred accurately, links are intact, and functionalities are working as expected. Conducting thorough testing in a staging environment before the final migration can help identify and resolve issues, ensuring a seamless transition with minimal downtime.
